This article describes the attribute change and email notification processes that occur to items upon Workflow state changes in Comindware Tracker.
Description
Comindware Tracker allows you to design a workflow in such a way that certain work item attributes will be changed automatically upon each state transition. State transition can also trigger e-mail notifications to go out to all the addresses you specify.
Below is a short example of a transition triggering both an attribute change and e-mail notifications.
Once your e-mail notifications are configured accordingly, the creation of a new item in your instance of Comindware Tracker will send you the corresponding email:
As you can see from the above screenshot, item attribute called "Current State" is set to "Start".
If you click the link you get in the notification you will be redirected to the item page where you can modify it:
In our example we moved the item to its next state called "Create article". When you change the state manually without touching the currently open task, Comindware Tracker automatically resolves the respective task and notifies you about it via e-mail:
The item in Comindware Tracker has changed its "Current State" and automatically created a new subtask for the responsible user (in our example it is John Smith):
If John Smith resolves his task without altering the state manually, the item will automatically be moved to the next state and e-mail notifications will be sent to all emails as per notification settings:
You can design your own processes and set Workflows up in such a way that your item attributes will automatically be changed the way you need. This is not limited to the items' "Current State" - you're free to create any custom attribute that needs to be automatically altered upon Worlfow transitions. You can also use e-mail notifications to stay informed about item progress and ensure nobody is dropping the ball.
